Responsibilities:

  1. Greet visitors and direct them to the appropriate person or department.
  2. Answer and direct phone calls in a professional manner.
  3. Manage office correspondence, including emails, letters, and packages.
  4. Maintain office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, and verifying receipt of supplies.
  5. Assist in organizing and scheduling meetings and appointments.
  6. Perform administrative tasks, such as filing, photocopying, and data entry.
  7. Ensure the office environment is clean, orderly, and conducive to productivity.
  8. Assist in the coordination of office events and activities.
  9. Handle basic accounting tasks, such as processing invoices and expense reports.
  10. Collaborate with other administrative staff to ensure smooth office operations.

Requirements:

  1. Proven experience as an office administrator, office assistant, or relevant administrative role.
  2. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  3. Excellent communication and interpersonal skills.
  4. Strong organizational and multitasking abilities.
  5. Attention to detail and problem-solving skills.
  6. Ability to work independently and prioritize tasks effectively.
  7. Knowledge of basic accounting principles is a plus.
  8. High school diploma or equivalent qualification; additional certification in Office Management is a plus.
